Project Management
IT’S BEEN A YEAR OF TRANSITION IN THE PROJECT MANAGEMENT OFFICE (PMO) WITH MULTIPLE CHANGES IN PROCEDURES AND STAFFING. OUR PMO IS RESPONSIBLE FOR OVERSEEING NUMEROUS PROJECTS IN FLIGHT WHILE ALIGNING OUR EFFORTS WITH THE UNIVERSITY PRIORITIES AND GOVERNANCE OVERSIGHT.
To provide greater visibility to all projects underway, we recently implemented a tiered project approach. Previously, we were not tracking smaller projects and various research consultations within our portfolio management system. Our project request process required
a significant amount of diligence in providing detailed scope statements and resource estimates which is critical for the larger projects. However, this presented an obstacle for the smaller lightweight efforts that were usually managed in a more agile fashion. The new tier 3 project category requires a more simplified scope statement and includes a rapid activation process. As a result, our portfolio expanded to include efforts involving process improvements, workflow automation, internal improvements, and research consulting projects.
To provide the most up-to-date information on our portfolio, we created real time dashboards for our
governance councils. These dashboards provided regular updates to all projects and project requests for review during our monthly meetings. They also saved time for the project teams in preparing materials for the council meetings.
As more departments recognize the importance
of a strong project manager to oversee various initiatives, there is an opportunity to create a community of practice and leverage the talent and expertise across campus to strengthen the work we do. Conversations and meetings have already begun across several departments to begin sharing ideas and templates and to learn from each other. As we have seen multiple times over the past years, there is great value in building relationships across campus to solve problems and exchange ideas. We look forward to building this community of practice and continuing to support campus initiatives.
