Several more modern options from third-party vendors were evaluated, but the best solution would end up being crafted entirely within my.SMU. This new telecom management module within PeopleSoft removes the need for an additional system to administer, saving time and financial resources while maintaining the same level of service.
my.SMU Faculty Credentials
Efforts have continued in improving and hardening the process of entering faculty credentials into my.SMU. Previously a highly manual process involving multiple people and offices, a system is now in place to allow departments to easily enter required professional credential information to a faculty member’s record. Once entered, the data is applied to other areas of my.SMU to ensure that faculty members are only added to courses for which they are qualified to teach.
Another aspect of adjunct faculty onboarding – the issuance of an SMU ID number – has also been revamped. Departments can now submit requests for new SMU IDs easily within my.SMU, and the new system provides the new faculty member with an email to access a secure system for submitting their information for eventual verification and ID generation. This new method has shortened processing times, as well as helped to maintain data accuracy and reduced pain points during the onboarding process.
Grade Changes Go Digital
The final grade change process has long been a manual, paper-based process for most areas on campus. Instances of delays and missing paperwork were commonplace when requests passed between multiple offices and people. A new solution that meets the needs of students, faculty, and staff stakeholders in the process became a high priority over the past year.
Once again utilizing the robust flexibility of PeopleSoft, faculty can now request final letter grade changes directly within their grade rosters in my.SMU, and the requests are quickly routed to the appropriate teams for review and approval without the use of paper forms and intercampus mail. With around 2,500 grade change requests submitted each year, this new process has already drastically saved time and reduced administrative frustration.
