In Summer 2022, we implemented the first few modules within OIT including computer assets/inventory, warehouse management, technology purchasing, and financial reconciliation. Employees can now easily access the list of computers assigned to them and the date on which each is eligible for replacement under the technology fund. As we look ahead, a detailed plan and roadmap for the implementation of other modules
for OIT will be a primary focus as we continue to work towards the vision of a central platform for managing requests and supporting key business processes across campus.
With such a significant investment in technology, it is critical to continually evaluate and enhance the functionality to deliver more value to campus. Facilities and OIT conducted a series of feedback sessions to identify enhancements, new requests, and training needs from the various groups using the system. We will continue to roll out new features for the existing modules in the upcoming year. Additionally, we installed a reporting module that will allow us to produce various real time dashboards. With such a wealth of data in STABLE, the ability to leverage that data for strategic planning and decision making is of great value. We look forward to enabling the tools and processes that support the continued improvement of the University.
New Innovations in Document Imaging
AdminImages.SMU has served as a fundamental repository of documents for many years. Recent evolutions of this service have opened new doors to further improve business workflows for the betterment of all administrative areas on campus.
Previously, individuals who scanned documents into AdminImages were greeted with a somewhat daunting experience of compatibility issues and workflow complexity. From printing and re- scanning documents to wrangling with outmoded software, the process could become a large time sink. The recent software upgrades eliminated the need to run a Java plugin with a specific browser. The team also released a new cloud-based fax input system. With these two improvements in place, Data and Application Services team member Keven Jones worked with key users of AdminImages
to help relieve the pain points of the document imaging process. These efforts have resulted in

significantly improved experiences in everyday work, and hours returned to the University.
“Keven has removed the need to print and rescan documents and has created the ability to scan
a document straight from the browser,” reports Jordan Hardin from Development and External Affairs’ Donor Relations office. “He has turned document imaging into a manageable task while navigating a culture of ‘we’ve always done it
this way.’”
